Program Support and Development

New Self-Funded Program Development

Once a program has received the appropriate academic approvals (please visit the New Academic Programs page for more information), Distance & Continuing Education (DCE) can assist faculty and staff in the new self-funded program approval process. DCE can also provide consultation regarding student recruitment/marketing, enrollment/retention, and program completion services.

  • Market Analysis – Comprehensive market analysis research will provide insight into market competition as well as data on trends in student demand and the health of the job market for relevant occupation fields. This research may be useful to new program administrators in terms of determining market feasibility and completing sections of the new program proposal.
  • Business Plan and Program Proposal – In addition to providing market research, DCE can assist program administrators in assembling a business plan and the Proposal for Self-Funded Program Status for review by the academic department, the College Dean's office, and the Office of the Provost. Proposals include: information on the identified need/demand, how the program will contribute to the overall mission of the University, and a budget that demonstrates how and when the program will become self-supporting.   • Distance Education Service Center (DESC) – UF DESC will collaborate with your program to provide outstanding student communication and creative marketing deliverables.   • Vendor Relationship Management– DCE provides assistance to programs in identifying and managing business relationships with strategic partners, including vendors who provide marketing and retention services.

Program Administration

  • Online Evaluations – Online application for collecting official UF instructor evaluations for college credit courses. https://evaluations.ufl.edu/
  • Online Applications – Visit the Provost Applications descriptions on the UFIT Technology Support Services website to learn which of the following services are available to your unit, department, or academic program:
    • Registration and fee collection support for non-traditional programs
    • Credit course evaluations.
    • Online voting for shared governance.
  • Online Student Authentication and Assessments – With the growth of online courses at UF, insuring the authentication of the students taking these courses and especially taking online assessment is a growing concern. The University of Florida proactively addresses these areas by working with partners ProctorU and ProctorFree, who are our preferred online student authentication and online proctoring providers.   • Administration of Institutional Collaborations and Memberships for Distance Learning
  • Administration of Distance Learning Fees – Individual departments may apply for approval to assess a student who enrolls in a Distance Learning course a per-credit-hour Distance Learning course fee. Fiscal Administration

Overview

Finance Office is responsible for oversight of accounts operated within the 143 auxiliary fund in the MyUFL financial system. (Continuing Education and Professional Development). This includes the review of Distance Learning Fees. Visit our Policies and Procedures page for more information on the Distance Learning fee approval process.

Auxillary Account Maintenance

Revenue generated from self-funded programs, whether they are college credit or continuing education, must be collected and tracked within 143 fund in the MyUFL financial system. The Finance Office serves as a single point of contact for internal and legislative audits regarding continuing education and self-funded programs.

Once a Self-Funded program is approved, the Finance Office performs the following functions to create and manage these accounts:

  • Work with General Accounting to set up flexfield and program codes with the Bursar’s Office in MyUFL.
  • Process faculty/staff payments.
  • Establish program development account for residual funds within the colleges.
  • Respond to and/or coordinate with requests for information from internal and/or legislative auditors and maintaining auditable records as directed by statutes and regulations.
  • Specific responsibilities & services include:
    • Approve all vouchers & credit card charges on the 143 fund
    • Monthly reconciliation for all financial transactions
    • Collection of bad checks & associated fees
    • Financial reporting at the programmatic level for clients
    • Maintain program development accounts for any residual revenues from programs

Registrations and Payment Collection

If a unit's tuition, fees, schedule or other unique needs do not fit within the University's standard ONE.UF and student fee collection system, several options exist:

  • QuickReg – automated registration, credit card payment and enrollment in Sakai for online CE courses.
  • Conferences & Seminars – free service for online registration and fee collection.
  • XMS – online payment system for self-funded credit, off-calendar, non-college credit (CE) or other activities not directly supported by UF's financial services.

  • Course Development – Online Course Production provides instructional design and course production services for faculty seeking to develop online Distance Learning courses and programs.

Faculty Development

Request support from the Office of Faculty Development & Teaching Excellence (FDTE) support through the Service Request Form.

  • Quality Assurance Online Course Review – Have your online course reviewed by members of the Quality Assurance Committee based on the UF Standards and Markers of Excellence.
  • Teaching Strategy Consultation – These services are available for you or your team to discuss any aspect of teaching and learning. Consultations are non-evaluative and completely confidential.
  • Visit an Online Course – Explore courses and get ideas.
  • Invite FDTE to Support Your Meeting or Event – Department meetings, workshops or other events focused on teaching and learning.
  • Request a Specific Workshop or Informational Visit – We will be happy to come to any existing meetings and discuss a specific topic with your department or team.

Central Support Services

  • Basic Registration Page Setup – Our team will construct a registration page for your attendees to register for your event.
  • Registration Services – our support team provides your attendees with excellent customer service, administers your fiscal activities, and manages registrations.
  • Online Report Access – We provide you with quick access to monitor your finances as well as keep track of participant registration.
  • Budgeting – we will design a detailed budget and have a program number created for your event.
  • Hotel Contract Review – We will review and sign your hotel contract on behalf of the University of Florida.
  • Program Closing – We assist in closing the program and transferring any residual money.

Distance Learning Platforms

Delivery of academic content can take many different forms including on campus-online (commonly referred to as E-Learning), off-campus online and off-campus remote (commonly referred to as Distance Learning). Online and E-learning delivery can also take several different forms including synchronous and asynchronous learning.

  • UF Online – Delivering a comprehensive offering of high-quality, fully online baccalaureate degree programs.
  • Flexible Learning – Serves thousands of students at UF and beyond by offering online, open-enrollment, self-paced courses open to college students anywhere year-round. Flexible Learning courses are asynchronous.
  • Non-Credit Continuing Education:
    • Coursera – The Coursera model combines top universities and professors with an online platform that is designed to support very large numbers of students. Massive Open Online Courses (MOOCs) rely on mastery learning supported by video lectures, interactive content and peer evaluation.
    • Canvas – Programs designed for non-traditional students, alumni, working professionals and the general public connecting professionals with our top-ranked university.
